UPDATES ON THIS SERVICE

  • Due to physical distancing measures being implemented, civil registry documents / applications may either be submitted in person (by APPOINTMENT only) or by POST (each copy of the application form must be notarised by a public notary).  
  • Applicants who wish to submit their requirements in person must also bring with them a printed copy of their confirmed appointment during their visit to the Philippine Embassy.
  • For health and safety reasons, we only accept payments via card or contacless.  Cash payments will not be accepted at the moment.
  • Only those with confirmed appointments will be allowed to enter the Embassy premises to avoid overcrowding.
  • Collection of documents will only be done by post in strict compliance with physical distancing measures being implemented.  All applicants must submit a self-addressed, stamped, special delivery envelope with tracking number together with their documentary requirements.
  • Incomplete submissions will immediately be returned to the applicant or destroyed through a secure process in compliance with relevant data protection laws.

If at least one parent is a Filipino citizen at the time of a child’s birth in the United Kingdom or Ireland, the child's birth must be registered as soon as possible with the Philippine Embassy.

The Report of Birth, which is equivalent to a Philippine Birth Certificate, is then sent by the Embassy to the Philippine Statistics Authority (PSA), the Philippines’ foremost civil registry authority. It is from the PSA that applicants will get authenticated copies of civil registry forms on security paper for future consular transactions. 

The Report of Birth must be filed no later than one year after the child’s birth. Otherwise, an Affidavit of Delayed Registration of Birth must be filed by the parent/s.

A Report of Birth may be filed either in person or by post/mail.  If it is filed by post/mail, each copy of the application form must be notarised by a public notary before the report is posted / mailed. Applicants who are filing their civil registry reports by post / mail are not required to include the original documents in their submission.

 Processing time: three (3) working days

Requirements:

  1. Confirmed appointment (Book here) [only applicable for those who are filing the report in person]
  2. Four (4) copies of the Report of Birth form, filled out online and printed, or printed and accomplished using a pen with black ink. All entries must be written in block letters and clearly legible. All four (4) copies must be signed by the informant and not just photocopied.  If sent by post/mail, copies of the application form must be notarised by a notary public.
  3. Original and four (4) photocopies, British or Irish Birth Certificate (long form)
  4. Original, valid passport of the child's parents
  5. Four (4) photocopies each of the parents' passport data page
  6. Original and four (4) photocopies, parents' marriage certificate
  7. Supporting documents (if applicable):
    • If the child was born before the parents were married:
      • Four (4) original and and signed, Affidavit of Legitimation
      • Original and four (4) photocopies, Marriage Certificate of parents
    • If the parent/s have acquired foreign citizenship at the time the Report of Birth was filed:
      • Original and four (4) photocopies of the Certificate of Naturalisation
      • Original and four (4) photocopies of the following Philippine Citizenship documents:
        • Oath of Allegiance
        • Order of Approval
        • Identification Certificate
    • If the Report of Birth is filed more than one (1) year after the child’s birth:
    • If the child is of illegitimate birth but is acknowledged by the father and carries the father’s surname:
  8. Processing fee (see table below)
  9. Applications filed by post / mail must be paid via POSTAL MONEY ORDER (UK residents) or BANK DRAFT (Ireland residents).
  10. Payee must appear as PHILIPPINE EMBASSY LONDON

 *Applicants from Ireland who are sending their documentary requirements by post must pay the relevant processing fees through a bank draft payable to the Philippine Embassy in London.

Steps (for applications submitted in person):

  1. Book an appointment (Book here)
  2. Prepare all the necessary requirements and supporting documents.
  3. Visit the Philippine Embassy and proceed with the following steps:
    • Submit complete sets of your requirements and supporting documents to the processor.
    • Pay the processing fee at the cashier (we only accept payments via card or contactless)

Important Reminders:

  • A confirmed appointment is required for applications submitted in person.
  • Other documents may be required as circumstances warrant.
  • If the report is filed by post or mail, do not send us the original documents.
  • The Embassy accepts applications for the Report of Birth of a child born in another country apart from the United Kingdom and Ireland. The application will be sent to the Embassy or Consulate which has jurisdiction over the place of birth. Applicants for this type of service needs to visit the website of the concerned Embassy or Consulate for information on other documents that may be required. Applications of this kind will have a longer turn-around time as documents are sent through the diplomatic pouch.
